What is Stay Duration and when is it needed for short-term business travel across APEC economies?
Stay Duration is handled within APEC Business Travel Card (ABTC). The practical question is never the label but the evidence chain: which office issues the original, who certifies the translation, and which authority places the final stamp before the document is used.
Stay Duration in plain terms
Stay Duration is handled within APEC Business Travel Card (ABTC). The practical question is never the label but the evidence chain: which office issues the original, who certifies the translation, and which authority places the final stamp before the document is used.
Working backwards from the receiving authority is the fastest route. Confirm what that authority accepts, then assemble the file in the order that authority expects, rather than collecting paperwork first and discovering a missing certification at the counter.
How APEC Business Travel Card (ABTC) works
The card is always used together with the ordinary passport declared in the application. It is not a travel document and never replaces a passport, so changing passports invalidates the match and a replacement card must be requested.
The United States and Canada are transitional members: ABTC holders may use the fast lane at designated airports, but a US or Canadian visa is still required. Permitted stay per entry is decided by the receiving economy, commonly 59-90 days, and covers meetings, negotiations, conferences, trade fairs and site visits only - never employment, residence or study.
The APEC Business Travel Card is a travel-facilitation scheme, not a regional visa. Each participating economy screens the applicant separately (pre-clearance) and only the economies that approved the applicant are printed on the back of the card. Economies missing from the card still require an ordinary visa.
Where Stay Duration fits in the document chain
Documents connected with Stay Duration move through a fixed chain: issuance, translation, certification and acceptance. Each link is verified against the previous one, which is why a missing intermediate stamp cannot be repaired at the final counter.
Because short-term business travel across APEC economies is assessed on paper, the safest working method is to prepare the complete set before approaching any office, then submit once with everything attached.
Evidence the reviewing officer looks for
An officer checks four things: that the original is authentic and current, that the translation is complete, that the certifications appear in the correct order, and that the person submitting is entitled to do so.
None of those four is a formality. A file that satisfies three of them is still returned, and the queue restarts from the beginning.
Working with IVC
IVC has handled short-term business travel across APEC economies since 2011 - more than fourteen years of files across translation, notarisation, consular certification and submission support. We prepare, check and track the chain; the decision always remains with the authority, and we never promise an outcome.
Fees depend on document type, language pair, volume and urgency, so they are quoted by our staff rather than published. Contact us by phone, LINE or email with a scan of the document and the destination, and you will get a written scope before anything starts.
Pre-submission checklist
- Scan the complete file exactly as submitted
- Allow for public holidays at each office in the plan
- Confirm in writing what the receiving authority accepts today
- Use the certified original or an officially sealed copy, never a plain photocopy
- Match the spelling of every name to the passport, letter for letter
- Translate the whole document including seals, stamps and handwritten notes
- Keep the certification order: issuer, translator, consular authority, embassy
Common pitfalls
- Omitting seal or annotation text from the translation
- Booking travel around an unconfirmed processing date
- Relying on an outdated checklist instead of the issuing authority's own page
- Submitting through a representative whose authority has expired
- Letting a passport change break the match with an issued document
